Know Your M.O.: How to Choose the Right Office Printer or Copier

Whether replacing an old machine, adding a new one, or renewing your current agreement, Modus starts with a consultation to recommend the right printers and copiers for your office. But we also want our customers to feel confident about what features and priorities to ask for in their equipment. Below are some of the key considerations to help us help you make the best decisions for your organization’s printing needs.

1   |  Page Volume

How many people are using the machine? How many print jobs happen each month? How many pages does each job consist of? Is there a time of the week or month that most of your printing takes place?

Understanding your monthly print volume helps determine whether your office can opt for a smaller, more compact office printer or whether you’ll need more robust, high-volume multifunction copiers designed for busy workplaces. Businesses with higher printing demands often benefit from enterprise-level solutions and support that ensure reliability, speed, and lower long-term operating costs.

2   |   Document Sizes and Capabilities

While many offices primarily print letter-size (8.5” x 11”), some industries have additional requirements.

Opting for an A3 multifunction printer (MFP) allows you to print a larger variety of document sizes, handling up to ledger-sized paper (11” x 17”) while comfortably producing legal, letter, and other small-sized documents like envelopes and postcards.

Moreover, some industries (such as construction, engineering, architecture, etc.) also need to print large-scale plan documents (24" x 36”) that require specialty wide-format equipment designed for blueprints, plans, and technical drawings.

3   |   Features and Accessories

Almost all modern multifunction printers include features such as scanning, wireless printing, faxing, copying, duplex printing, and automatic feeders. However, these and other features are still important to mention to your provider when selecting equipment.

For example, you may need a device that prints in color, or specifically one that prints only black and white.  Or you may have software or services you need to integrate with (i.e., scan-to-email, scan-to-drive, or cloud storage).

Finishing accessories that staple, fold, hole punch, and assemble documents can also be added to produce polished presentation materials, booklets, and professional reports directly from your printer.

At Modus, our consultation is built to identify and educate on your office’s workflow, usage trends, and requirements. When these factors are understood and effectively communicated, we can better serve your organization by ensuring your team is backed by a solution that optimizes your day-to-day operations.
